Problem: Unable to resign because I have to give account of devices and equipments I was incharge of

Yeah... That's the guilty feeling.

Like I said, only his department can bail him out now. He said he had a bad reputation and he didn't say the reason for it, so probably he is in a tough spot.
Consider what he wrote , its easy to guess why he has a bad reputation.

You have not understood the setting. Try to imagine. I would simply go there, do the teaching and leave the place. It was like how professors in college teach but are not concerned about the furniture in the classroom. Only thing was I would take the key from office to unlock the door and keep the key back in office after working hours. It was never formally declared, "Look. You have been officially made incharge of this lab." Now do the professors or school teachers keep official records of how many benches and desks are there in classroom?

Let this thread be in world affairs section because many people around the world may be having similar problems.


Even getting fired from any job or resigning is not easy because while leaving, you have to give account of all the devices and equipments you were incharge of.

At the time of joining, I didn't know that you are responsible for not only the property but also the records of all items. I didn't know that there is such thing as stock book. Nobody told me that whenever you receive any device or equipment for the lab you are alloted, you have to mention it in stock book.

Now the two problems are:

1. I joined a polytechnic college as a lab instructor in Department of Mechanical Engineering. I was incharge for one computer lab. Then after few months, another computer lab already furnished with additional computers was added to our department (Mechanical Engg Dept). I didn't bother to enter the records of newly acquired computers because I was inexperienced and had no knowledge of the concept of stock book. As I said before, nobody educated me that you had to enter the information about newly acquired computer systems in stock book. So I don't know what should I say if they ask an account of number of computers in the stock book.

2. Now another problem. This is a different matter. Don't connect this with above point no. 1. Recently, suddenly, out of 61 systems, some 20 odd systems have got damaged. I don't know the cause – voltage fluctuations or student mischief. Whatever be the reason, they would think that all systems didn't get damaged together all at once but it started to happen one by one. They may ask, "What were you doing these many days when they were getting damaged one by one?" They may not even believe my words because of my poor image.

WHAT SHOULD I DO?

If college has procured, if its branded , for records you may get in touch with Sales Manger via Finance Department, You may get full list with serials Number of system which was give to college along with warranty details .If your lucky enough If its under warranty Service technician will be able to find the fault and resolve it.

In case systems are not branded , You may get rough inventory with specification from seller, it wont have proper serial number,but good thing seller will be known to college so you may ask necessary help.

well here is something else

we have yearly inventory of equipment once December passed no one can ask abut past years .
we have to be careful abut big assets like car home appliances and other bigger items from company yeah sure we will return them on resign or while replaced with new .
abut small equipment like laptops mobiles devices etc it has life limits . like my company give me new mobile every two years after two years passed old mobile worth 0.00 amount . same abut laptop . sim cards uniforms etc worth nothing just forget them .

1. Check your employment contract and job description given to you when hired. Does it state that you are responsible for keeping stock? If not, did your reporting manager (or anyone senior) EVER tell you to keep stock until now?

2. Which department places orders for the lab? IT or Finance or ? Speak with that department and find out if a specific IT lab cost code or IT lab specific purchase order numbers are used for the purchases. That will assist you in pulling the invoices for the equipment and then matching against what's in the lab. This will make the stock reconciliation exercise easier.

2. Now another problem. This is a different matter. Don't connect this with above point no. 1. Recently, suddenly, out of 61 systems, some 20 odd systems have got damaged. If you didnt enter that in stock book, no problem, because IT guys, who suppose to buy these things, must have their records(with serial numbers). Secondly, if IT didn't procured that, then it must be the main store, where this inventory is entered at the time of purchase or arrival at institution. So, on whose name this inventory actually is? On your name or someone else? Somebody out of above told people must have the records of these computers. At least the accounts guys, or finance guys, or someone who paid for these computers.


If computers are damaging one by one, then they are not actually damaging. Some parts are simply being stolen. For a minute, we assume the computers are damaged. It doesn't matter how many days it took, or how poor is your reputation, return these computers to store after filling a form(may be with store or stock guys) with title "faulty".
There must be some sort of inventory management, exploit that. And let them say whatever they say.

Instead after obtaining permission from AICTE (the governing council for technical education), the intake strength for the discipline of Mech Engg was doubled. The increase in student strength in this department necessitated additional infrastructure and equipments. Hence the computer lab of erstwhile IS dept was given to Mech Dept. And many staff of IS dept were transferred to CS dept since CS and IS are related branches.

Hence this second lab and the computers inside it are actually second-hand goods. So in order to know stock details I have to ask the CS folks (who were previously working in IS). But these CS/IS folks are not exactly friendly. If I ask the administrative office, they may suggest taking principal's permission before digging up old obscure records.

Regarding the contract. Something akin to it was signed. It's called affidavit/bond paper. But it was signed only after the problem started. Doesn't matter because they may not consider this point.

Ask store what is at your inventory, and from where it was transferred. And next time read and confirm before signing anything.

why did they give responsibility to fresher and now want to blame everything on him?
anyway what can they do, just tell them you were not trained about that, its their responsibility...

Pardon my ignorance but shouldn't these kind of threads be in Members Club? Unless everyone thinks that someone's workplace issues are a world affair.

On Topic :

Usually any formal job has a job description (JD) and by your narrative, it seems that you are what we call 'Lab Assistant' or more affectionately a 'Lab ***'. No insult intended. Mostly halfway decent colleges have a JD for the job and rest you learn by following what others are doing.

If you joined the college informally, its a separate thing then. Mostly, people find what is called as a 'No Dues' form in India sometimes when they are working. It lists who should sign off before they give you a relieving letter or an experience certificate. Thats your clue about what will come on your plate when you are leaving the job.

Now individual circumstances like yours need a bit of more practical treatment. A lot depends upon what kind of college you were working in. Was it a private college? Was it a government college? Who needs to sign on your experience certificate? Will you even need one for your next job? Stuff like that you know. Most of colleges are seldom in position to enforce such policies legally. Its too expensive and too long of a procedure to bother. Mostly, they will cut their losses by garnishing your full and final settlement. At worst they will not give you an employers reference. Now depending upon the place you will be joining next, this can be a problem or may not even matter. Employer reference verification in India is done very lethargically, leaving MNC, almost no one does it properly. So yes, practically you can just walk away after giving a notice and written representative. But remember if this was a government college, it may come back to bit you in your lower posteriors in future. Especially if you are seeking another government job. Private college? For all you know the college itself may cease to exist after few fine years.

May be you should not have applied for the position of INCHARGE if you had no idea what the posting entails.

How many cents do u want to bet that you lied on your resume regarding your experience?
